Have you ever wondered how some people do so many things in a day. Why do we always fall short of time when we want to do so many things? Do they have a magic wand? No, their secret is time management. Stephen Covey, author of the bestseller book ‘The 7 Habits of Highly Effective People’, says, “Successful people manage their priorities, not time.” This means that for time management, one does not just have to look at the clock’s hands. We have to understand what is most important for us?

What is time management?

The simple meaning of time management is to use the time you have correctly and wisely. This does not mean that we should not finish our work quickly, but rather we should ensure that we spend our time on those things which matter the most to us. We all have only 24 hours in a day, but the question is how we use it. It is our time management that decides whether we are moving towards our goals or are just caught up in the daily hustle and bustle?

Suppose, you wake up in the morning and you have a lot of work. What do you do? Do you start whatever comes in front of you without thinking or do you first think about which is the most important work of the day? This is what time management teaches us, to work thoughtfully.

Covey’s Time Management Matrix

Stephen Covey has described a special method to make time management easy, which is called ‘Time Management Matrix’. In this, he has divided all our work into 4 parts.

Understand this matrix in detail-

  • Important and Urgent: These are the tasks which are very important and have to be done right now. For example, if the deadline of a project in the office is tomorrow or there is an emergency at home.
  • Important, but not urgent: These are the tasks which are important for our future, but there is no hurry right now. Like planning your dreams, exercising for health or spending time with family.
  • Urgent, but not important: These are the tasks which grab attention quickly, but are not actually very important. Like answering meaningless phone calls or messages.
  • Neither important, nor urgent: These are the tasks which only steal our time. Like watching TV for hours, getting entangled in useless things or scrolling reels.

Now the question is how do we choose our tasks based on their priority,

First know what you want in life. Do you want to progress in your job? Or do you want to spend more time with your family? When the goals are clear, the priorities will also become clear. If your dream is to start a business, then take some time for it every day.

As soon as you wake up in the morning, write down your day’s tasks. Then see which task is the most important and do it first. A simple to-do list can help you a lot.

Don’t try to please everyone. If a task does not match your goals, politely refuse it. This will seem difficult, but it is necessary.

Fix a time for every task. Think like this that I will finish this report in two hours. This will prevent you from slacking off in the middle of work.

1. Create a daily planner

  • Make your to-do list every morning.
  • This helps you prioritize your tasks and set deadlines for them.
  • Start your day by using a notebook or mobile app.

2. Prioritize tasks

  • Use Covey’s Matrix:
  • Do important and urgent tasks early.
  • If important but not urgent, plan ahead.
  • If urgent but not urgent, delegate to others.
  • If neither important nor urgent, delete or reduce.
  • This will help you decide what to do first.

3. Set deadlines

  • Set a specific time for each task.
  • Try to stick to the timeline so that tasks are completed on time.

4. Give importance to personal time

  • The purpose of time management is not only to work but also to enjoy life.
  • Take time for yourself, like exercising.
  • Spend time with family.
  • Do activities of your choice like reading a book or listening to music.

5. Maintain patience and consistency

  • Time management is a process that does not come overnight.
  • Be patient and keep practicing regularly.
  • Start with small steps and improve it gradually.
